CHARACTER OF THIS CLASSIFICATION LEVEL

In positions at this introductory level, incumbents provide office assistance of a routine and repetitive nature, where the work is quickly learned and tasks are performed according to well-established procedures.  For some positions, basic keyboard skills may be required.  Although incumbents receive close supervision during their training period, once trained they work under general supervision.  While supervision of others is not a requirement, incumbents may be required to assist in the introductory training of other employees at the same level.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES WHICH ARE INTENDED TO ILLUSTRATE THE CHARACTERISTICS OF THIS CLASSIFICATION LEVEL AND SHOULD NOT BE INTERPRETED AS A DESCRIPTION OF ANY ONE INDIVIDUAL POSITION WITHIN THIS CLASSIFICATION LEVEL
  1. Provides routine clerical duties including:  receiving and receipting forms, checking forms for accuracy and completeness, matching, sorting and distributing forms and documents, and/or making simple calculations, etc.
  2. Performs filing and routine record keeping
  3. Performs receptionist duties for an area including:  receiving and directing calls and visitors, taking messages, and providing basic, routine information, etc.
  4. May perform routine data entry functions
  5. Operates automated office equipment including:  copyiers, calculators, computers, etc.
  6. Types routine correspondence, forms, labels, envelopes, mailing lists, etc.
  7. Assists with general office duties and may maintain an inventory of general office supplies
  8. Processes mail including:  picking up, opening, date stamping, preparing, sorting and distributing mail
  9. May assist in receiving, storing and affixing price labels to stock
  10. Provides general assistance in support of special events including:  preparing and posting notices and/or directional signs, arranging material, equipment and/or facilities, directing the public, accepting entrance admissions, distributing printed material, etc.
  11. Performs other related duties as required or assigned
QUALIFICATIONS REQUIRED

The minimum qualifications necessary for acceptable (satisfactory)  performance are:

Level of Formal Education 

  • High school completion or equivalent program of studies with office skills training
Experience
  • No experience is necessary as on-the-job training is provided
  • or
  • An acceptable equivalent combination of education and experience
Skills and Abilities
  • Ability to follow oral and written instructions in handling a variety of clerical duties
  • Some positions require basic keyboard skills with the ability to meet test standards in typing of 35 w.p.m.
  • Effective oral and written communication skills
